Contract Staffing Solutions

We offer you flexibility to draw staff as and when required, thereby eliminating the need to bear the financial burden of carrying in your employ extra staff when not required. We are the market leaders when it comes to delivering exceptional service and response levels. We run contracts where orders for contingency staff are processed within as little as 10 minutes of receiving the request. Our average response time is 30 minutes for the supply of general workers.
Our staff outsourcing contracts are structured to suit the peaks/troughs and particular trading requirements of our clients. Our Services

Our services are delivered by our team with years of experience are passionate about developing business.

Project Management

Where possible, we prefer to recruit from local community. When necessary, and where specific skills are no available locally, we are able to network to source the required categories.
Our Project Management Plan includes the establishment of a Dedicated Service Unit (DSU), for large, national projects. The DSU is headed by a National Project Manager dedicated to the account.
This person has ultimate responsibility for:
• the smooth running of contract nationally,
• ensuring the terms of the Service Level Agreement are met
• ensuring consistency of service delivery
• to act as senior point of contact for problem resolution
• for strategic input on the efficiency and cost containment on the project.
Staffcor are tasked with sourcing, checking and managing the required labour. At smaller sites, the labour is managed from the Branch with a Contract Manager assigned to each site. Where the volume of workers warrants it, we assign a dedicated, onsite supervisor at the site. The Contracts Managers are often dedicated resources, depending on the volume of business awarded. The branches are adequately staffed to manage anticipated volumes.
We also have contracts where our supervisors are based on site. Our Contract Management process is given in detail in the proposal below, and has delivered effective and efficient results. Contactable references, to verify our service levels and ability, are also attached.

‘Taking Over’ of Staff

Staffcor is able to ‘take-over’ workers who are currently contracted to another service provider or casual workers who are employed by you. You would need to ensure that your contracts with your existing service providers accommodate such a procedure.
In addition:
• A presentation is made to all workers who are going to be transferred to out books to explain to procedure.
• Registration will take place to evaluate sizing and distribution of PPE and to get new Contracts of Employment signed by all workers etc.
• Copies of CV’s, licenses etc will be obtained from existing service provider in order to evaluate and implement a plan of action to get all records in order.

Implementation Plan

Considerations for an implementation plan would include amongst other things:
• Whether the plan needs to include taking over staff from another service provider
• How many staff are at each site what categories
• The ‘peak and valley’ productivity requirements
Outlined below is a broad idea of what would be involved in an implementation. This would need to be refined into a proper project plan with timelines and accountability once we had accumulated all the required information.

Supplementary Staff

In all likelihood, we would need to further supplement the complement of contract workers at some sites with additional staff which we will source through our branch infrastructure using our normal recruitment procedures.

Payments and Wages

Staffcor operates a computerised payroll system called Paymaster. This system has been developed to specifically cater for the unique requirements of our industry. Salaries and wages are paid directly into the bank accounts of all our staff. If a contract worker does not have a bank account for wages to be deposited into when registering with us, one is opened for him by FNB.

Administration

We confirm and give the assurance that we efficiently handle all administrative functions related to the running and maintaining of the outsourced staff complement as they are our responsibility. This includes but not confined to good timekeeping, maintaining discipline, holding hearings and ensuring that a proper work ethic is upheld. We also ensure that all statutory registrations and levies complied with.

Recruitment Procedures

A formal an informal recruitment procedures is carried out on a continuous basis which provides us with the ability to continually expand this database, giving us the edge above our competitors. As a rule, we will give preference to the recruitment of staff from the local communities.

Contracts of Employment

In accordance with the Labour Relations Act, any worker outsourced to you remain the employees of Staffcor and are bound by a contract of employment. The content and structuring of our contracts of employment are compliant with legislation and have successfully stood up to challenges put forward through the CCMA.

Personal Protective Clothing

Staffcor ensures that all contract workers wear the necessary uniforms and/or protective clothing to suit the nature of each contract. Our contract managers familiarise themselves with the appropriate safety requirements and ensure full compliance at all time.

Accurate and Detailed invoicing

In order to maintain the highest level of accuracy and reliability. Staffcor makes use of a number of totally integrated information systems. From the time of initial capture of time and wages data through invoicing, we route a formalised process whereby we can generate reports and gain feedback relevant to specific stages along the process.

Supervision

To ensure efficient contract continuity, contract execution and to maintain good communication between all the parties involved, we assign one or more dedicated supervisors to each contract for 40 people or more supplied. These individuals are fully trained and inducted to ensure complete understanding of your business, culture, procedures and operating style and are on hand to not only monitor the performance of outsourced staff bur also to initiate immediate corrective action where necessary.

An onsite supervisor’s duties include but are not limited to the following:
• Ensure the smooth day to day operation on-site.
• Ensure that all employees sign limited duration contracts and maintain up-to-date employee records.
• Monitor employee attendance.
• Handout computerised payslips to each assignee.
• Administer and record all COIDA data.
• Organise transport for outsourced staff adhere to your rules, regulations and particularly safety policies/procedures.
• Ensure your instructions, orders and directions are strictly adhered to.
• Carry out disciplinary procedures when necessary.
• Issue and control of uniforms and PPE.
• Complete a daily report of all occurrences.

Health and Safety

Health and safety is an important part of any contract we undertake. We understand the implications of our staff conforming to your health and safety regulations. Firstly, everybody involved in the Dedicated Service Unit will be made aware of your health and safety regulations, and these will be considered when recruiting for you.
In addition, we undertake to ensure that from our side everything possible will be done to ensure the safety of our workers including the compilation of an on-site record of employee skills portfolio of evidence.
This would include:
• Documentary evidence of the Entry, Exit and Annual medical examination.
• Copies of PrDPs and any other relevant licences or qualifications attached to the contractors record.
• Induction given to all our contractors and details attached to their record.
• Details of all other training received attached to their record.
• Regular inspections at all levels of the Dedicated Service Unit to ensure compliance .
• Employee PPE and uniform control.
• Any administrative records relating to workmen’s compensation and claims relating to death or injury of a worker on-site.

Performance Management and Incentivisation

Incentivisation and performance management work hand in hand. Working in conjunction with you, incentives and performance reward/awards can be identified and linked to clearly defined criteria. Based on our experience and other outsourcing contracts that we manage, incentives must be perceived to meaningful by the participants themselves for best results. Most importantly. They must suit the contract environment and can take the form of evaluating a variety of deliverables.

Contracts of Employment

Standby

Staffcor have ‘waiting room’ facility where contract workers who are available for assignment are invited to wait for a possible assignment. This facilities a quick turnaround time on certain categories of workers should you require staff on a urgent basis.
We are able to accommodate for a specific categories of staff to be on standby, should this be a requirement.

With that mind, staff benefits are essential to building staff loyalty and commitment. In addition to the payment of statutory benefits, Staffcor offers their entire outsourced staff database benefits normally only associated with permanent employment. Members is voluntary and at nominal rates.

Saving plans

To encourage a culture of savings amongst our outsourced staff, we can administer a savings plan for each contractor. This involves an amount agreed to by the contractor being deducted from his/her wages, weekly or monthly, and deposited into an interest bearing savings account and paid out either at the end of a contract or at his/her request.

Loan/Advances

We do not encourage regular applicants for salary advances or loans by our staff. We do, however, have a policy in place that makes provision for loans/advances for compassionate reasons (death, illness, etc). Another policy in place is the provision of controlled financial assistance for things such as school fees/uniforms, rent etc.

Industrial Action Solutions

We are one of the few national organisations that provide replacement staff during industrial action situations. Our vast database of highly skilled staff, in almost every category, enables support, such as supervisors, transport, wages and payroll administration and statutory compliance which must accommodate each situation.

Value Added Services

We are to offer several value added services at a preferential rate due to the strength and diversified specialisation of Staffcor. The benefit to you is cost effective solution to a productive and healthy workforce. Any of our products/services can either be quoted to you as a separate cost or can be costed as a small adjustment to the hourly rate of the contract workers.
